!!! EU-funding for Experiments at BESSY II expired !!!

The Transnational Access -program within the European Commission’s Integrated Infrastructure Initiative (I3)  project "European Light Sources Activities - Synchrotrons and Free Electron Lasers (ELISA)"ended with the application period 1st semester 2011. The follow-up program CECILIA was not approved. Applications for alternatives are still under negotiation. So for the time being, the EU-TNA program is without financing.

For preventing the European Synchrotron Radiation User Community from harm, the HZB-management agreed to waive the beamtime fees, so that all allocated beamtime for EU-users can be approved.
For the future, users from EU-countries can apply for beamtime as in previous periods. Beamtime application and allocation follow the standard procedure for all external user groups.

Support for Travel and Subsistence:

EU-users are kindly asked to primarily check the possibilities for funding travel and subsistence from their institutes budget or with national funding agencies. If this is not possible, HZB will grant support for travel and subsistence on application. Up to two participants in a beamtime can be supported according to the regulations of the German "Reisekostenrecht":

Daily allowances: 8-14 h: 6,00 €; 14-24 h: 12,00 €, 24 h: 24,00 €

Travel costs:
In general the costs for train or plane are refunded for economy class tickets. If you use your private car for the trip 0,20 €/km but at maximum 130,00 € are refunded. There will be no additional refund for gasoline costs. In case you use a rented car (must be approved by HZB), the rental fees and the gasoline costs are refunded.

Accommodation:
Guest house (IBZ): As long as rooms are available in the IBZ we will accommodate you in the guest house.
Hotel:  
In case the guesthouse is not available, the user office will book a nearby hotel for you. In this case the hotel costs are refunded. Breakfast in the hotel will not be refunded, these costs are included in the daily allowences.
If you prefer to stay in a hotel, although rooms in the guest house are available, no refunding can be granted.

We kindly ask for understanding, that not more than two participants can be funded. For further participants you will have to find alternative means for funding their travel and subsistence costs, like

Beamtime Projects Step-by-Step

How to Apply

Submit your proposal through the General Access Tool GATE. After proposal evaluation, beamtime is allocated according to scientific merit. Successfull proposals will receive an allocation note with the project number. This number has to be cited in any correspondence.


Before beamtime

To claim your beamtime and coverage of costs you must complete the

  • Beamtime Acknowledgment form (via GATE) until the date specified in the allocation note
  • First-time User Registration for each New User of BESSY II (via GATE), who is going to participate in the beamtime
  • Application for Badge & Dosimeter form for all participants of the beamtime (via GATE) at least three weeks in advance of the beamtime.
  • If you cannot finance travel and subsistence from your institutes budget, submit an Application for travel and subsitence support. The use of rented cars must be applied also within this form.The application must be send at least three weeks in advance of the beamtime.

 Additionally, travel dates/room requests for each user have to be send to the BESSY II User Office for accomodation booking. Please note that each individual must confirm her/his room requests 2 weeks before arrival to ensure a valid reservation at our guest house or a hotel.


During Beamtime

Before starting the beamtime you must pass once a year a general safety lecture.
While at BESSY II, you must fill out the BESSY II Beamtime Record and Feedback Form (via GATE)


After Beamtime

If an application for travel and subsitence support by HZB was approved, travel and subsistence will be reimbursed after your beamtime according to the following regulations:

 To apply each approved participant must send the completed an individual

(please fill the form at the comuter and print it, forms filled in handwriting will not be accepted!) together with all original receipts (no copies!), tickets and boarding passes  to the BESSY II User Office. However, travel reimbursements and new beamtime applications will only be processed when all the following reports

  • BESSY II Beam time record and feedback form (via GATE)
  • BESSY II Experimental Report (via GATE)

have been submitted.


Requirements for Publications

The HZB management expects that the granted beamtimes lead to contemporary publications.

Any publication resulting from a BESSY II beamtime project should include the beamline/instrument responsible as co-author. At least the authors must mention HZB-BESSY II, the instrument and the beamline/station support in the acknowledgement, for example in the form;

We acknowledge the Helmholtz-Zentrum Berlin -  Electron storage ring BESSY II for provision of synchrotron radiation at beamline ### and would like to thank xyz for assistance.

If the project was funded within the ELISA program,  the following sentence must be quoted in the acknowledgement:

The research leading to these results has received funding from the European Community's Seventh Framework Programme (FP7/2007-2013) under grant agreement n.°226716.

Excellence and efficiency of research at large scale facilities will determine the future success and funding of these infrastructures.In your own interrest we ask you to support our measures to increase the efficiency and visibility of research performed at our facilities.
Only if you comply with these rules can we guarantee a successful support program. BESSY II can only provide beamtime and travel support with your full cooperation.
